Cancellation Guidelines
Flexibility Meets Fairness
- 12+ Hours Ahead: Cancel free. No fuss.
- 6–12 Hours Ahead: $25 fee (covers reserved chauffeur prep).
- 2–6 Hours Ahead: 50% of booking.
- <2 Hours Notice: Full fare.

- Dallas Demands Precision. Missed slots mean missed connections—for you and the next CEO we’d have to reschedule.

Exceptions We Honor
Because life in Texas isn’t always predictable:
- Flight Delays: Forward your airline’s alert—we’ll nix the fee.
- Medical Emergencies: Doc’s note = full refund.
- Dallas Weather Drama: Ice storms, flash floods? Reschedule free.
Refunds hit your account in 3 days. No runaround.
Sprinters & Buses (Specialty Vehicles)
Sprinters and buses require advanced scheduling, cleaning, and standby driver preparation.:
- 7+ Days Ahead: Full refund.
- <7 Days Notice: Refund provided minus a 20% non-refundable penalty.
- <24 Hours Notice: 100% of booking total is charged.
Refunds hit your account in 3 days. No runaround.
Third-Party Vendor Services (Photographers, Event Partners, etc.)
When Astra Lux LLC confirms and prepays a third-party vendor on your behalf:
- That portion of your booking is non-refundable once payment has been made.
- Chauffeur service refunds, if applicable, follow the timelines above.
- Vendors secure their schedule exclusively for you, so cancellation does not release our obligation to pay them.
No-Show Policy
If a client fails to appear at the scheduled pickup location without notice (“no-show”), the full fare is charged and no refund is issued.
Rescheduling Policy
- Rescheduling requests made within 12 hours of pickup may be treated as a cancellation and subject to fees.
- For Sprinters and Buses, rescheduling within 7 days of the booking date carries the same 20% non-refundable penalty.
Deposits
Some bookings (Sprinters, Buses, or extended events) may require a deposit. Deposits are applied to your balance but are non-refundable once the booking is confirmed.
Client Responsibility
The client booking the service is financially responsible for all fees, including chauffeurs, specialty vehicles, and third-party vendor costs, regardless of whether the service is used personally or by their guests.
Third-Party Vendor Disclaimer
Astra Lux LLC facilitates third-party vendor services (e.g., photographers) as a courtesy. While we coordinate booking and payment, Astra Lux LLC is not liable for the performance, timing, or outcomes of third-party providers.
Dispute Resolution
Chargebacks or payment disputes initiated outside Astra Lux LLC’s official refund process will be treated as a breach of contract. We reserve the right to recover associated costs, including collection fees or legal action.

Agreement to Terms
By making a reservation with Astra Lux LLC — whether through our online booking system (book-now.astraluxllc.us), by phone, or by email — the client acknowledges and agrees to the above cancellation, refund, and rescheduling policies in full.
